Job Summary:

The Assistant to the Director of Annual Giving plays an essential role in the Annual Giving program and is responsible for providing support to the Director of Annual Giving and coordinating the Fund’s day-to-day operations.  Annual Fund staff conduct a comprehensive program in a rapid paced environment to raise $2.25m+ in current use funds from current parents, the senior class, alumni/ae, past parents, grandparents, faculty, staff, and friends of the School.  This position will focus on supporting operations for all constituents except alumni/ae and senior students.  This position requires occasional participation at evening events on weekdays and weekends. 

 

Skills and Competencies:

Bachelor’s degree required.  The ideal candidate will have a minimum of 3 years of experience working in an office environment, preferably in an educational institution. This highly motivated individual will be a self-starter with excellent administrative, organizational, and time management skills, along with outstanding interpersonal and communication skills.  Must enjoy working in a fast-paced, deadline-driven atmosphere, and work well under the pressure of such deadlines.  Must be able to multi-task and prioritize in order to complete tasks and projects in an efficient and timely manner.  An aptitude for numbers and a strong attention to detail are essential.  Strong and rapid computer skills are also required using Word and Excel, among others, and a fundraising database (Millennium) experience is preferred.  Mail merge experience is essential.

 

Specific duties will include:

· Assist the Director of Annual Giving in executing all tasks related to meeting the goals and objectives of the Annual Fund program for Parents, Past Parents, Grandparents, Faculty, Staff and Friends.

· Process gift acknowledgements daily with accuracy, attention to detail and in keeping with office protocols.

· Coordinate direct mail, email solicitations, and Phonathon activities for Parents and other constituencies as directed by the   Director of Annual Giving

· Serve as a point of contact for Annual Fund volunteers, donors and other key constituents

· Perform daily database updates with entries related to cultivation, solicitation, giving, and stewardship of donors

· Provide timely and accurate reports using the fundraising database, distributing them to staff, and volunteers daily, weekly, monthly, quarterly, and annually as appropriate or as requested

· Participate in the compilation and production of lists and documents for the Annual Report

· Assist with the organization and management of on and off-campus events throughout the year

· Create and update documentation for events, procedures manual, and overall program tracking
